An answering demo can sound convincing while leaving your most important question unanswered: what happens to the caller after the greeting? A pleasant conversation has little value if the next person never receives the request.
Compare proposals against the calls your business actually receives. This guide supplies an editorial comparison worksheet, not a ranking of providers or a claim that one model suits every business.

Unequal scopes
One quote may include message taking while another assumes live booking and a CRM connection. A price comparison hides those differences unless each responsibility is written down.
An impressive voice is only one criterion
Decide how much conversation quality matters alongside accurate details, human access, coverage and reliable follow-up. A service that fails a mandatory requirement should not win through cosmetic strengths.

List the call types
Copy these worksheet columns: call type; frequency in your observed log; required outcome; can wait; human required. Fill rows for a new inquiry, existing-customer request, complaint, wrong number and an unclear request. Add types your own log reveals.
Choose weights before the demos
Create one row for coverage, correct intake, human handoff, system updates, caller experience and support. Give each a weight from 1 to 5 according to your business priorities. These are your preference weights, not market statistics.
Score evidence, not promises
For each provider and criterion record unverified, failed, partially demonstrated or demonstrated. For demonstrated performance assign 2 points, partial 1 and failed 0; leave unverified blank. Multiply by your weight only after comparable tests. A blank is a question to resolve, not an automatic pass.
Apply mandatory requirements first
Mark must-pass items separately, such as a caller reaching a human or the correct calendar receiving a booking. An unmet must-pass item overrides the weighted total. Keep the result as needs evidence if the provider cannot demonstrate it.
Compare the full responsibility
Record who updates scripts, reviews failures and handles unavailable staff. Ask both providers for the same setup, ongoing support, usage and exit terms. Leave unsupported amounts blank rather than assuming the cheapest headline is the cheapest workable option.

Use anonymized patterns from your call log and write a fictional caller for each. Do not send private customer records into a sales demo.
Give each provider the same brief
Describe the expected outcome and your must-pass rules before the call. Do not coach one provider through a failure that the other must discover alone.
Observe the result in the destination
Ask to see the task, appointment or handoff evidence. A spoken assurance is not a substitute for the record your team will use.
Decide what remains uncertain
Record the result, open questions and the person responsible for resolving them. Choose a bounded pilot only after the essential gaps have a testable answer.

Do not assign that result in advance. Test the kinds of judgment and escalation your callers need. Ask both services which requests they must pass to your staff.
You can evaluate a combined design, but the boundary needs testing. Name which calls each service owns and who handles a failed transfer. Ask for one combined cost and responsibility map.
