How to measure whether call automation brings qualified inquiries

The phone agent answered more calls, but the owner still cannot tell whether the business received more useful inquiries.
An answered call, a sales opportunity and completed work describe different events. A report that combines them can look encouraging while leaving the buying decision unresolved.

Diagnosis
Define the outcome before comparing the totals
Call counts include unlike events
Test calls, wrong numbers, spam and repeat calls can appear beside new inquiries. Preserve the raw call total, then show the exclusions used in the business-outcome report.
A goal label depends on its definition
HighLevel documents Goal Events tied to configured conditions such as appointments or form submissions. Check evidence that the configured goal condition was met. Merely reaching or passing the Goal Event action is insufficient because its settings can allow continuation without meeting the condition. The business still needs evidence for its own definition of a qualified inquiry.
Before and after can differ for other reasons
Record coverage hours, advertising changes, closures and staffing changes alongside the period. Without comparable conditions, a change in inquiry volume is an observation, not proof the phone agent caused it.

Confirmed bookings
Row fields: inquiry identifier ___; appointment identifier ___; calendar ___; current status ___; verified time ___. Count a booking only when the calendar record exists. Keep cancellations and rescheduling visible rather than preserving an obsolete success total.
Completed work
Row fields: inquiry identifier ___; job or engagement identifier ___; completion evidence ___; completion date ___. Use the business's actual completion record. A quoted amount or booked appointment does not establish that work was delivered.
Rates and unmatched records
Calculate qualified inquiries divided by distinct inquiries reviewed for qualification. Calculate booked qualified inquiries divided by qualified inquiries eligible for booking. Show each numerator and denominator. Record unmatched calls and unavailable outcomes separately; do not treat missing evidence as zero.
Worked interpretation
Illustrative case: the answered-call count rises, but the additional calls are repeats from existing customers. The report should show that pattern rather than claim new demand. It may still reveal a useful service function, which requires its own outcome measure.

Choose a comparable cohort
Select calls entering during the same defined coverage hours and give inquiries enough time to reach the outcome being measured. Document the observation window.
Reconcile a sample by hand
Follow selected call identifiers into inquiries, calendar records and completed-work records. Correct joins and definitions before relying on a dashboard total.
Make a bounded decision
If qualified inquiries rise with reliable records, investigate whether expanding coverage is justified. If records are missing, fix measurement first. If answered calls rise without useful outcomes, inspect caller mix and handling quality.
